Terms and Conditions

 

Our T&C's

  • General

  • Receipt of full payment secures reservation.

  • Payment can be made by bank transfer or cheque in £ sterling, or other currency by agreement.

  • Any changes should be notified by email at least 24 hours prior to the service and may be subject to an administration charge. Vca cannot guarantee any refund in case of a cancellation.

  • Clients are reminded to ensure passports are valid, they are in possession of any necessary visas (including ESTA for the USA and ETA for Australia), have any necessary vaccinations and are fully insured.

    Hotels
  • Reservations are usually subject to a minimum stay during Cannes events which will be notified at time of booking.
  • Other reservations will be for the agreed duration.
  • Price given is per room per night exclusive of tourist tax and breakfast.
  • Any additional expenses to be paid directly to the hotel by the client prior to departure.  
  • Apartments and Villas
  • Receipt of deposit confirms reservation (50% of the rental, unless otherwise specified). The deposit is non refundable.
  • Balance, breakage deposit and final clean and laundry payable 8 weeks prior to arrival.
  • Where a reservation is placed 8 weeks or less prior to arrival, receipt of full amount only confirms reservation.
  • In the event of a cancellation, vca will attempt to resell the property. If it is successful, a full refund less administrative expenses will be arranged.
  • Additional cleaning, laundry and any other service required will be invoiced separately after departure, and deducted from the security deposit.
  • Restaurants
  • All reservations are subject to a reservation fee from £ 50.00

  • A deposit may also be required to secure the reservation. The deposit is non refundable in the event of cancellation within 24 hours.

  • For groups of 10 or more, a set menu is recommended to avoid delays.

  • Group menus are payable to vca prior to the event.

  • Any orders outside of the set menu must be paid directly to the restaurant after the service, unless agreed in advance with vca.

  • Meetings and Events

  • A goodwill fee of £ 250 is charged prior to presentation. This is refundable upon appointment.

  • A management fee will be mutually agreed.

  • All fees to be paid prior to event.

  • Additional expenses which occur for any services or consumptions carried outside of the set menu or programme, will be agreed and invoiced.
  • vca will endeavour to reconcile the account within 2 weeks after the event. Any additional expenses invoiced after the event are payable to vca within 14 days of receipt of invoice. A standard agreement will be signed by both parties together with a Schedule of Payments and Production timetable.

  • Airport and rail transfers by car

  • Tariffs are per car and dependent on the number of passengers. Transfer tariff is for a direct journey only unless pre-arranged.

  • Chauffeur drive - car and driver at your disposal

  • Minimum duration 4 hours

  • Additional hours as agreed with driver and signed for are subject to supplementary invoice.

  • Motorway tolls and drivers meals are included.

  • Car rental

  • We act as agents for Holiday Autos and your rental is wholly subject to their conditions.

  • We issue your vouchers and give you full instructions once your booking is confirmed.

  • Holidays

  • vca Consultancy Ltd acts as an approved agent for nominated tour operators and travel agents.

  • In that capacity, vca Consultancy acts in an advisory role and all financial transactions are direct between the Client and the operator

  • The client will adhere to the financial policies and conditions of the tour operator or travel agent. Such policies will be advised by vca Consultancy Ltd.

  • In the event of non-licensable transactions, such as hotel reservations only, payments are held by vca Consultancy Ltd in a Client Account at HSBC.
